Invite and manage team members

Team Management

Collaborate with your team on survey research. Add team members, assign roles, manage permissions, and work together on surveys and data analysis.

Quick Start

Add a team member in three steps:

  1. Go to team settings - Navigate to Team Settings > Members
  2. Send invitation - Enter their email and select a role
  3. They accept - Invitee clicks the link in their email

How It Works

Teams in Srvey provide:

  • Shared workspace - All team members can access team surveys
  • Role-based access - Different permissions for different roles
  • Centralized billing - One subscription for the whole team
  • Collaboration tools - Work together on research projects

Inviting Team Members

Sending an Invitation

  1. Go to Team Settings > Members
  2. Click "Invite Member"
  3. Enter the invitee's email address
  4. Select their role
  5. Click "Send Invitation"

Invitation Process

  1. Email sent - Invitee receives an email with a join link
  2. Account creation - They create an account (or sign in)
  3. Team joined - They appear in your members list
  4. Access granted - They can start working immediately

Managing Pending Invitations

View and manage invitations that have not been accepted:

  • Resend - Send another invitation email
  • Cancel - Revoke the invitation
  • Expiry - Invitations expire after 7 days

Team Roles

Owner

The team creator with full control:

Permission Access
Surveys Full access to all
Responses View, export, delete
Team members Invite, remove, change roles
Billing Manage subscription
Settings All team settings

Notes:

  • Cannot be removed from team
  • Can transfer ownership to another member
  • Only one owner per team

Admin

Trusted team members with broad access:

Surveys Create, edit, delete all
Responses View, export, delete
Team members Invite, remove (except Owner)
Billing View only
Settings Brand and survey settings

Best for: Research leads, project managers

Member

Standard team members:

Surveys Create, edit own surveys

Best for: Researchers, analysts, contributors

Example: Academic Research Lab

Scenario: University research group with PI, postdocs, and grad students.

Team Structure:
- Owner: Principal Investigator
  - Full control, manages lab budget

- Admins: Postdoctoral Researchers
  - Create and manage studies
  - Oversee student work

- Members: Graduate Students
  - Create own studies
  - Access their own data

Example: Market Research Agency

Scenario: Agency with project managers and analysts.

Team Structure:
- Owner: Agency Director
  - Billing and overall management

- Admins: Project Managers
  - Manage client projects
  - Invite team members

- Members: Research Analysts
  - Build and run surveys
  - Analyze results

Example: Corporate Insights Team

Scenario: Internal team gathering employee feedback.

Team Structure:

Removing Team Members

Removal Process

  1. Go to Team Settings > Members
  2. Find the member to remove
  3. Click the menu icon
  4. Select "Remove from team"
  5. Confirm the action

What Happens When Removed

Usage Overview

Track your team's usage against plan limits:

Troubleshooting

Issue: Invitation not received

Symptoms: Invitee says they did not get the email.

Solutions:

  • Check spam/junk folder
  • Verify email address is correct
  • Resend the invitation
  • Try a different email address

Issue: Cannot change role

Symptoms: Role dropdown is disabled.

Solutions:

  • Verify you have permission (Admin or Owner)
  • Owner role cannot be changed (must transfer ownership)
  • Check that member has accepted invitation

Issue: Cannot remove member

Symptoms: Remove option is not available.

Solutions:

  • Owners cannot be removed
  • You need Admin or Owner role
  • Cannot remove yourself (unless transferring ownership)

Issue: Reaching member limit

Symptoms: Cannot invite more members.

Solutions:

  • Upgrade to a higher plan
  • Remove inactive members
  • Use shared accounts for temporary access (not recommended)

Best Practices

  • Use least privilege - Assign the minimum role needed
  • Review members regularly - Remove inactive or departed members
  • Document roles - Keep track of who does what
  • Onboard new members - Provide training on team workflows
  • Audit access - Periodically review who has access to what
  • Use descriptive team names - Helps when users belong to multiple teams
  • Consider SSO - Enterprise teams should use single sign-on
